Butterwick Hospice Care was founded 36 years ago by the incredibly inspirational Mary Butterwick OBE. Providing a holistic service to adults, children and babies, the organisation supports patients with palliative and progressive diagnoses as well as their families and loved ones.

The successful applicant will provide a comprehensive administrative support service for training, education and learning within the hospice including arranging and managing training provision and the training environment.

Provide support and cover to the HR team

Be responsible for the provision and maintenance of spreadsheets and databases to maintain accurate and timely records of staff and volunteer training and development activities, ensuring timely, accurate and concise submission of reports to meet performance and compliance requirements.

Facilitate L&D administration including creating events, responding to requests for learning, recording training attendance, creating attendance registers and certificates, filing hard copies of training logs, collating and filing training evaluations.

Liaise with trainers to ensure that schedules are accurate and reflective of their training requirements.

Applicants must have:

GCSE or equivalent in English and Maths Grade C or above.

Excellent organisational, clerical and administrative skills including prioritisation.

The ability to work to deadlines and within defined standards.

Job Purpose

Provision of a comprehensive administrative support service for training, education and learning within the hospice including arranging and managing training provision and the training environment.

Provide support and cover to the HR team

Responsible for the provision and maintenance of spreadsheets and databases to maintain accurate and timely records of staff and volunteer training and development activities, ensuring timely, accurate and concise submission of reports to meet performance and compliance requirements.

Key Responsibilities

  • Facilitating L&D administration including creating events, responding to requests for learning, recording training attendance, creating attendance registers and certificates, filing hard copies of training logs, collating and filing training evaluations.
  • Liaise with trainers to ensure that schedules are accurate and reflective of their training requirements.
  • Collation of training and compliance metrics, preparing reports for relevant groups and committees.
  • Liaising with HR and Line Managers to ensure that training is assigned to new starters and that the required training is scheduled during their start date.
  • Create training records for new employees on Staff.Care and train them as part of their induction.
  • Maintain and updating the relevant training spreadsheets, database and online training platform
  • Acting as the key contact for administrative queries from delegates and trainers during the delivery of online and face-to-face courses.
  • Support the smooth running of courses and event management
  • Maintain training records (e.g. trainee lists, schedules, attendance sheets)
  • Inform new starters about training dates, providing them with the schedule and ensuring they have received the relevant information to access training prior to their training day.
  • Ensure accurate record keeping of all courses booked and attended
  • Provide support and assist in the coordination of any submissions or information collation in relation to CQC requests, visits or inspections
  • Complete any data submissions or paperwork associated with the role, including but not limited to: activity and performance info, reports, absence records, annual leave information, and communications, ensuring information is accurate and timely.
  • Prepare promotional materials on courses and training sessions and ensure relevant staff and volunteers are aware
  • Maintain up to date contact details of trainers and course providers, including course content
  • Book rooms and provide relevant resources (projector, laptop, flipcharts etc.) to ensure training sessions can proceed, where required/authorised arrange catering or refreshments.
  • Support the HR manager to develop online surveys and feedback forms. Collate data and statistics from feedback.
  • Support the Sister – Education and Training with the provision of administrative duties in relation to the planning, delivery and recording of clinical training.
  • Assist the HR department with the coordination of L&D activities, as and when required.
  • Assist with the day-to-day operation of the HR office and any other duties within the accountabilities of the role.
  • Maintain personal and professional competencies and development. Make changes to own practice where required and offer suggestions for improving services where appropriate.

All staff will undergo an annual performance assessment and agree a personal development plan which will ensure that the objectives of the employee, department and organisation are achieved

All staff are personally accountable for improving and maintaining own knowledge and competence.

All staff will be aware of and support the working practices of any volunteers assisting with daily workload
